
Terms and Conditions for Stallholders at Central Coast Comicon 2025
General

RYSS will not be held liable for claims made by customers against vendors regarding faulty, inedible, or misrepresented products.

Complaints from visitors will be referred to the vendor. Unresolved matters will be referred to the Consumer Affairs Bureau and the Office of Fair Trading.

Stallholders must comply with WHS guidelines and NSW WorkCover requirements. Workers must be covered by Workers Compensation Insurance provided by the vendor.

Electrical safety compliance, public liability, and the appropriate use of event space are essential terms of participation. Stallholders agree to indemnify RYSS from all liabilities, suits, claims, and expenses arising from participation in the event.

Actual or Decommissioned Firearms, BB or Airsoft, Sports Weapons, Metal Replica, Cap Gun, Ammunition, Militaria/Collectors Pieces are NOT UNDER ANY CIRCUMSTANCES to be brought to Central Coast Comicon.

Metal Weapon Props are strictly prohibited. This includes and is not limited to the following: Knives, daggers, swords, metal chains and metal bats regardless of sharpness, live blade or training replicas. These items can cause serious damage to persons or property, and they are to remain at home. Examples of materials that are acceptable include Timber, Plastic and Foam.

Kitchen utensils, tools and accessories will be examined by security at the entry gates and let in if deemed safe. Actual tools (power, garden or hand operated) are not allowed. Examples include but are not limited to; axes, shovels, cutting or slicing implements and puncturing devices.

No refunds are provided for vendor cancellation after payment.
Stall set-up

Entry and exit are one-way into the event area. Stallholders must adhere to all instructions given by traffic management or event staff.

Bump-in times must be strictly adhered to on event day. Specific timings will be outlined in the event confirmation email.

Stallholders are required to have four dedicated marquee weights, one on each marquee leg. Improvised weights, such as water storage containers or dumbbells, are not acceptable at any time and present a risk to stallholders and members of the public. Without four dedicated marquee weights, stallholders will be unable to trade.

Location of stalls is at the sole discretion of the event organiser. Stallholders will be advised of their intended stall location and size in advance, but this remains subject to change as determined by the market organiser.

No marquees, tables, tools, or equipment are available for hire or use. Stallholders must bring their own gear and set up.

Stallholders located outside must bring and set up a solid 3m x 3m structural gazebo with a leak proof roof. Non-marquee structures will not be accepted.

Each marquee leg must have a 20kg weight, totaling four weights. These may be sandbags, heavy water weights, or concrete pots. Central Coast Council (CCC) regulations require this weight per leg. Failure to weigh appropriately will result in being asked to leave as safety on site is paramount. Marquees cannot be pegged under any circumstances, as per council regulations. Stallholders without appropriate weights will not be permitted to trade.

A 5 km speed limit is enforced while driving onsite. Stallholders must watch for hazards while onsite.
Food vendor requirements

Stallholders must have appropriate legal documentation and accreditation to sell any consumable products at the event.

All food vendors must have an Approval to Operate (MFV) number issued by Central Coast Council. This must be checked prior to the event. Failure to provide an up-to-date MFV number will result in exclusion from the event.

Food vendors must use only biodegradable cutlery, plates, and cups. This will be inspected onsite and is integral to minimizing the environmental impact of the event.

Styrofoam is strictly prohibited at the event. Limited plastic use is allowed.

Food vendors may only trade if registered the relevant Food Authority and must complete and pay for the appropriate paperwork.

Food vendors must have food safety certificates and keep copies on hand.

Gas bottles must be date valid, safe, and market checklist complete.

Food vendors must have a safe, working, valid fire extinguisher, and all staff must understand how to operate it.

Unsafe, untidy, or poorly managed food handling will result in removal from the event and exclusion from future events.
Stallholder conduct

Stallholders are required to respect the event staff, fellow vendors, and patrons as this aligns with the event ethos. Poor behavior will not be tolerated and will result in instant dismissal from the event and exclusion from future RYSS events.

No rubbish is to be left onsite or placed in event bins. Penalties of up to $200 will be incurred for rubbish left behind. The site cleaner will report any rubbish left by stallholders.

Environmental vandalism, such as breaking or damaging the venue, is strictly prohibited. Stallholders found engaging in such activities will be asked to leave immediately.

Stallholders will be notified when bump-out is to commence. This will only occur after all members of the public have left the site and it is safe to open the gates.
Anti-Harassment Policy
Central Coast Comicon has a ZERO TOLERANCE POLICY for harassment of any kind.
We take the personal safety of our attendees very seriously and have created our Anti-Harassment, Personal Safety & Cosplay Policy to ensure that Central Coast Comicon is a event where everyone feels safe to attend.
If you would like to take a picture with or of a Central Coast Comicon attendee, always ask first and respect that person's right to say no.
When at Central Coast Comicon, be respectful, be nice, be cool and be kind to each other.
If you post a photo of a Comicon attendee without their permission the post will be reported and you will be asked to remove it.
Public liability and legal documentation

Stallholders must have valid public and product liability insurance of at least $20 million to trade. It is their responsibility to update their liability and send a copy to RYSS prior to the event. Failure to provide proof of insurance will result in the inability to trade.

Stallholders must ensure their products do not infringe any copyright or laws. By submitting an application, they agree to comply with copyright and trademark regulations. RYSS takes no responsibility for copyright or trademark infringements by vendors.
Weather and cancellation

Comicon and the venue will assess weather conditions on event day. No refunds will be issued for cancellations due to poor weather.

In the event of damaging weather (e.g., wind or hail), follow instructions from event staff and remove marquee roofs promptly.
OHS & Workers Compensation

Trees must not be interfered with in any way, nor should the ground be damaged. Stallholders are liable for any damage incurred by themselves, their staff, or contractors.

All electrical leads must be tagged and tested. Leads that are not in compliance cannot be used.

No electrical leads may be on the ground, as they are considered a trip hazard. Leads also cannot be double connected. If power is tripped due to a vendor's negligence, they may be liable for all damages caused.

Only silent generators may be used at the event. Generators must be tagged and tested to be compliant.

An on-the-spot fine will be issued for any electrical gear without valid tags, and the stallholder will be asked to leave the site.
Marketing & Advertising Requirements

Stallholders must advertise their attendance at Central Coast Comicon on each of their social media accounts on the event day, including Instagram, Instagram Story, and Facebook. They must also post the supplied marketing images on all social media accounts two weeks before the event.
By paying the site fee, stallholders agree to these terms and conditions. RYSS reserves the right to terminate a stallholder's participation at any time, including exclusion from future events.
